Privacy notice

This notice explains what happens to personal data when you use thebrainai.co.uk. It covers this website only. It does not cover the Brain AI platform as deployed inside a customer’s environment, where the customer is the data controller and their own agreement governs.

Who is responsible

BrainAI Systems Ltd, a company registered in England and Wales under number 16988754, with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom, is the data controller for personal data collected through this website. We trade as Brain AI.

What this website collects

Very little, and none of it automatically. This site sets no cookies, runs no analytics, contains no tracking pixels or advertising tags, and stores nothing in your browser. There is no consent banner because there is nothing to consent to.

The only personal data we receive is what you choose to send us. If you email us, or use the contact link on our contact page, we receive your name, your email address and whatever you write to us.

We do not ask for special category data, and you should not send any. We do not use your data for automated decision-making or profiling, and we do not sell it.

Server logs

Our website is hosted for us by NetFortex Systems Limited, who operate the server on our instructions. Like any web server it keeps standard access logs, which include IP addresses, the pages requested, timestamps and browser user-agent strings. These exist to keep the site running and secure, not to build a picture of you. They are retained for the period our hosting provider applies, and are not used for marketing or combined with anything else.

Why we are allowed to use it

Under the UK GDPR we rely on legitimate interests (Article 6(1)(f)) to read and reply to a business enquiry you have chosen to send us, and to keep our own website secure. Where you ask us for information about the platform, we also rely on taking steps at your request prior to entering into a contract (Article 6(1)(b)).

We do not send marketing email on the basis of an enquiry. If we ever introduce a mailing list it will be separate, opt-in, and consent-based.

Who else sees it

We do not sell personal data, and we do not share it for anyone else’s marketing. Data reaches third parties only as processors acting on our instructions:

• IONOS, our email provider, which carries and stores the messages you send us.
• NetFortex Systems Limited, our hosting provider, which operates the server and its logs.

We may also disclose data where the law requires it, or to establish or defend a legal claim.

How long we keep it

We keep enquiry correspondence for as long as the conversation is live and for 24 months after our last contact with you, in case you come back to us. After that it is deleted. If you would like your enquiry deleted sooner, ask us and we will do it.

Your rights

Under the UK GDPR you have the right to ask us for a copy of your personal data, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on legitimate interests, you can object at any time and we will stop unless we have compelling grounds not to.

Ask by emailing info@thebrainai.co.uk. We will respond within one month. There is no charge.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint, or by calling 0303 123 1113. We would rather you raised it with us first so we can put it right.

Our articles link to primary sources on other websites. Once you follow one of those links you are on someone else’s site, under their privacy notice, not this one.
